Booking Terms and Conditions

1. Payments and Cancellations
All conference fees are payable by the invoice due date or in advance of the event date, whichever is sooner. We reserve the right to refuse admission if payment is not received before the event.

Fees may be paid by credit card, cheque or transfer to accompany your booking form or online, or upon of receipt of an invoice.

2. Confirmation of Booking
We do not accept provisional bookings and you cannot ‘reserve a place’ without incurring liability for the full payment or the cancellation charges specified in Section 3 (below). If you wish to ensure a place is available for you, you must make a confirmed booking as we cannot hold places open and it is in the nature of some venues that we have to cap attendance figures for some events.

3. Cancellations, Changes and Substitutions
Cancellations can be made up to one month before the event. Cancellations must be confirmed in writing and will be subject to a cancellation charge of £100 + VAT. Cancellations at less than one month from the event date are be subject to full payment.

Substitutions may be made at any date and are subject to a £100 + VAT administration fee.

Non-payment or non-attendance does not constitute a cancellation.

4. Special Offers and Discounts
Where discounts and special offers apply these are not cumulative and only one offer can be applied to a booking. The price current at the time of booking is the price you will be charged and we cannot amend, replace or substitute your booking to take account of any subsequent special offers, discounts or reductions that may be made as part of the event marketing.

Early bird discounts are only available until the advertised date. All discounts lapse if invoices are not paid within 30 days of issue date, at which point the full registration fee will be payable.

5. Programme & Venue Changes
It may be necessary for reasons beyond the control of the organisers to alter the content and timing or location of an event. Where this happens, we will endeavour to advise you of this in reasonable time. Such changes are an inevitable part of event organisation and do not constitute grounds for cancellation of a delegate booking. Notifications may be made via our website, email, telephone or letter but we cannot guarantee receipt. If you are unsure about any aspect of the event, please call us for an update.

6. Use of Contact Data
We may use contact data supplied when you book to contact you about other Symposium Events or allow carefully selected third party companies to let you know how you can benefit from similar offers. If you do not wish this to happen please send us your amended details using the form on our website at www.symposium-events.co.uk.

7. Accommodation and Other Venue Charges
Unless otherwise stated booking fees only cover attendance at each event and refreshments provided by the organiser. Accommodation, travel, telephones and other incidental charges are the responsibility of the delegate. Should Symposium be charged for any unauthorised costs incurred by delegates, these will be passed on to the delegate with the addition of an administration fee of £50 or 10%, whichever is greater.

8. Conference Documentation
The delegate fee entitles you to one copy of the documentation. This is normally handed to you on arrival at the event. Additional copies may be purchased for a small charge.

9. Loss of Theft of Property
Symposium accepts no liability for the loss or theft of any property belonging to delegates.

Gold Club Terms and Conditions

Membership Fees

Membership of Symposium Event’s Gold Club costs £949 + VAT and entitles your organisation to the discounts and offers specified in the brochure, on this website and in other marketing materials that may from time to time be issued.

Membership is valid for 12 months from receipt of payment and only events being held in that period may be booked with the membership discounts.

You cannot claim any discounts or benefits before payment has been received. Unless otherwise stated, all discounts and offers are on a stand alone’ basis and cannot be combined with other discounts or offers.

Only the discount or offer claimed at the time a booking is taken will be applied – we cannot change or upgrade offers subsequently.

Variation of Terms

Symposium reserves the right to change and amend the terms of membership and the nature and conditions of any offers relating to the Gold Club at any time.

Event Bookings and Cancellations

The Gold Club fee is non-refunderble. All bookings for free events taken as a part of club membership are free to attend, but are subject to a £145 + VAT fee if the delegate cancels or does not show up.

With regard to the free event places, club membership guarantees your organisation will be offered a place for one employee to attend at least four events (or event days in the case of two day events) per year, but places may be limited at each event and are bookable on a first come, first serve basis. Because of this, we cannot guarantee you attendance at a minimum number of events over the membership year. Member organisations are limited to a maximum of four free places per year.

Bookings for events made using your membership

discount are subject to our standard cancellation terms: full refunds, less £100 + VAT, are paid on cancellations received more than one month prior to the event; the full invoiced fee is payable for cancellations received at less than one month from the event.

Loss or Theft of Property

Symposium accepts no liability for the loss or theft of any property belonging to delegates.

Privacy Policy

At Symposium Events Ltd we are committed to protecting and respecting the privacy or all our customers and visitors.

The information collected from customers for billing purposes will be kept confidential. Information collected for billing will include contact details and payment information (e.g. credit or debit card details), none of which will be passed onto third parties. Delegate registration data and registrations on forums etc may be reused for marketing purposes. If you do not wish to receive further marketing communications please email accounts@symposium-events.co.uk.

When visitors use the website, information such as the ISP’s domain, the time accessed and the pages visited will be stored by us. This is to analyse the web traffic and improve content of the site.
